How we can help
Here are some ways we can support your efforts:
- Share the Baylor Scott & White Health name and logo for use on approved materials. See our rules for using our name and logo
- Provide a letter of authorization to confirm the legitimacy of your event and its organizers
- Help donors direct their gifts to areas of special interest or greatest need within our system
- Attend your event or check presentation, as our schedules allow
- Acknowledge contributions in line with our donor recognition guidelines
There are a few things we can’t do:
- We cannot guarantee attendance by our employees, patients, or volunteers
- We’re unable to organize, promote, or sell tickets for your event
- We cannot share our tax exemption number
- We’re not able to fund or reimburse your event expenses
- We cannot provide mailing lists or contact information for donors, vendors, board members, medical staff, employees, or other BSWH constituencies
Using our name and logo
Once your event is approved, we’re happy to allow the use of our name and logo. However, to help us protect our brand, we have a few rules you’ll need to follow:
- We require that all materials using a BSWH name and/or logo be submitted for approval prior to publication.
- “Baylor Scott & White Health”, “McLane Children’s” or “Baylor Scott & White Central Texas Foundation” may not be used in the actual event name. However, the phrase “proceeds benefit Baylor Scott & White Health” may be used in your promotional materials.
- Use of the BSWH brand without written authorization may result in BSWH’s withdrawal of endorsement for the event.

How long does it take to get my application approved?
Please allow up to 10 business days for us to review your application.
Can someone from BSWH or the Foundation help me plan my fundraiser?
While we are happy to provide guidance, you are responsible for the organization, promotion, liability and execution of your fundraising event.
Can someone from BSWH or the Foundation attend my event?
We do our best to attend events supporting BSWH, but we cannot guarantee attendance by BSWH or Foundation staff, patients, physicians or volunteers.
Do I need to create a 501(c)3 (non-profit) organization to host a fundraiser?
No, anyone can host a fundraiser for BSWH with our approval. The Foundation can provide an authorization letter confirming your intent to raise funds for BSWH.
Can the Foundation help me get a permit, license or insurance for my event?
All events must comply with all federal, state, and local laws governing charitable fundraising, gift reporting, and special events. You, the event organizer, are responsible for obtaining appropriate insurance coverage and any necessary permits and clearances when applicable.
Can I use the Foundation’s tax exemption number?
No, since your event is not hosted by BSWH, you may not use our 501(c)3 classification, federal tax ID number, or tax-exempt certificate.
Who can I ask for donations or sponsorships?
BSWH endorses wholesome events that project a favorable community image. Events sponsored by tobacco, alcohol, or other products/services considered detrimental to health and wellness cannot be endorsed by our healthcare system.
If you plan to solicit a business for in-kind or cash support, we ask that you let us review the list in advance to avoid duplication requests of our local businesses.
Can the Foundation help me build a list of potential donors?
We cannot provide mailing lists or contact information of any kind for donors, vendors, board members, medical staff members, employees, or any other affiliated BSWH constituencies.
Can the Foundation provide my donors with a receipt?
No, we cannot issue charitable tax receipts for donors or sponsors who make payments directly to your third-party fundraiser. There are complex regulations regarding charitable tax receipts, and issuing an inappropriate receipt can put our charitable tax status in jeopardy. Please do not promise your donors or sponsors any kind of receipt.
